Offline Mode

Allows you to work locally during a network outage or internet outage. Inventory and customer databases remain usable, and sales can be recorded normally. Data entered in offline mode is automatically synchronized as soon as the connection is restored.

Log in via email

Users can log in to the ERP system by entering their email address and password. This simple and secure authentication method ensures personalized access to their workspace and profile-related features.

MFA Authentication

Access security is enhanced through two-factor authentication (MFA). After entering their username and password, the user must enter a temporary code generated by Google Authenticator, adding a layer of protection against unauthorized access.

ID + password

An ERP login can also be established using a unique identifier, separate from the email address, along with a password. This authentication method offers a suitable alternative for environments that prefer personalized logins.

IP Authorization

Designed for daily management and operational oversight, this after-sales service view simplifies the work of teams, both in stores and at headquarters, by providing a clear and instant overview of the after-sales service status, as well as pending or approved quotes. It allows for a centralized view of all after-sales service requests, across all points of sale. The display includes the status of cases (awaiting quote, product available), the quote status (accepted, rejected, or pending), the part brand, the operator who registered the after-sales service request, the relevant point of sale, and whether the service is covered under warranty or free of charge.

Sale of services

Easily apply a discount to one or more items, or to the entire sale. Discounts can be entered as a percentage (%) or a fixed amount (€), giving you complete flexibility to adjust your prices according to business situations or promotional offers.

Sale put on hold

This feature allows you to temporarily pause a pending transaction to process another customer, then easily resume it where you left off.

Sale on credit

This function allows you to record a sale without immediate payment, while still generating the corresponding invoice. This invoice can be paid later. The remaining balance is saved on the customer's record and can be paid in one or more installments.

Payment by product return

The trade-in option allows you to use the value of a returned item as partial or full payment at the time of a sale. This avoids the need for a separate credit note and allows you to immediately deduct the trade-in value from the amount due on a new purchase.

Multiple installments on customer orders

This feature allows you to record multiple payments before delivery or final invoicing of an order. Each deposit can be paid using different payment methods and is tracked individually, including its date, amount, and payment method.

Deposit transfers between clients

This feature allows you to transfer all or part of a deposit or credit note paid by a customer to another customer account. It's useful when a customer wants to transfer a credit note to a relative or transfer an unused deposit for a joint purchase. The transfer is traceable, secure, and the history is saved on both customer records.

Sending quotes and invoices by email

Documents are sent to clients via email in PDF format, directly from the ERP interface. The message is structured with personalized text, the salesperson's signature, and the store logo, for a professional presentation consistent with the brand identity.

Export sale (manual tax refund via PABLO)

This feature allows you to record an export sale when the customer resides outside the European Union. The ERP system stores this information in the sales record to clearly identify it in statistics, accounting exports, and tax processing. The tax refund form will be generated manually by the seller via the official PABLO portal.

Tax-free sale with Solpay

Thanks to the integration of SolPay into the Jewely ERP, the management of international tax-free sales becomes fully automated. During an export transaction, the tax refund slip is automatically generated, including all the required information: customer identity (passport number, date of birth, nationality, etc.), as well as the precise details of the products concerned.

Customizing invoice design

This software allows you to customize the layout of sales documents to reflect each jewelry store's visual identity. Logo, legal notices, element placement: every component can be adjusted to reflect the brand image. It also allows you to faithfully reproduce the layout used in previous invoicing software, thus facilitating migration and ensuring both graphic consistency and compliance with legal requirements.

Point of Sale configuration

Each store can have its own sales settings. The selected point of sale determines all payment methods, sales types, applicable taxes, and specific rules.

Asset Validity Settings

The validity period of a credit note can be freely configured (in days). This rule allows for setting return or exchange policies according to the store's business practices.

Payment Method Settings

Accepted payment methods can be defined individually for each store: bank card, cash, checks, bank transfers, third-party solutions, etc. Each method can be activated, associated with an accounting code, and set as the default method if necessary.

Payment Terminal Setup

It is possible to register payment terminals (POS) specific to each point of sale. Each terminal is identified by a name, associated with an accounting code, and linked to one or more points of sale.

Sales Type Settings

Stores can offer sales of new products, used products, or both. Activating these types allows sales workflows to be adapted to the nature of the items sold in each store.

Tax Settings

Each point of sale can apply specific taxes depending on the nature of the products, their status (new or used), or the type of customer. These include: reduced or intermediate rates, HBJOAT tax, capital gains tax, VAT on margin, etc.
It is also possible to create new taxes, by defining a percentage value, a personalized mention to be included on the invoice, as well as application preferences by product type (e.g. Watches, Jewelry, After-sales service…) and by category (e.g. Rings, Bracelets, Earrings…).

Invoice-X

The Factur-X electronic invoicing module allows you to generate invoices combining a readable PDF and a structured XML file. Compliant with regulatory requirements, it facilitates accounting integration and prepares your jewelry store for the mandatory e-invoicing requirement starting in 2026.

Gold Buyback

Designed to manage gold buyback transactions, this module integrates customer information entry, identity verification, and the generation of the purchase slip. The calculation of the capital gains tax (11.5 %) and the net amount to be paid is automated. The Cerfa form is then stored in the ERP system, ensuring compliance and traceability.

Consignment shops

Easily manage your consignment sales directly from Jewely. When an item is registered, the software automatically generates a consignment contract including all legal information and defined conditions.
You secure your transactions, structure your tracking and have clear and professional management, without re-entry or external documents.

Buying back watches

This module handles the purchase of pre-owned watches in compliance with legal requirements. It allows for the collection of customer data, verification of their identity and the original invoice, and then the generation of the purchase slip. The calculation of capital gains tax (6.5 %) and the storage of the Cerfa form are performed automatically.

Jewelry buyback

Designed for jewelry stores that buy back pre-owned pieces, this module simplifies jewelry buyback management by integrating document verification (identity and invoice), generating the purchase slip, and calculating the capital gains tax set at 6.5% (%). The necessary documents, including the Cerfa form, are automatically archived in the ERP system.

Taken back during a sale

When a customer wishes to exchange jewelry or a watch for a new purchase, this feature allows the trade-in to be recorded directly within the sales process. The value of the traded-in item is converted into a credit note, which is then automatically applied to the invoice, either in full or in part. The entire process is seamlessly integrated into the sales tracking system.

Advanced customer search

Quickly filter your customer database using numerous combinable criteria: name, customer number, type (individual or company), brands purchased, country, postal code, city, and revenue range. You can also refine your search by sale date or customer creation date. A powerful tool for segmenting, analyzing, and preparing targeted marketing campaigns, with the option to export results.

Customer records

Brand Profiles

Brand sheets, indicating the name, the type of products (jewelry and/or watches, new and/or used), its supplier, the associated points of sale, the country of origin, the coefficient to be applied, the discount granted by the brand to the retailer, as well as the number of labels to be printed.

New and/or Used

Defining the sales method for each brand: new products, used products, or both. This information is linked to the supplier and allows for the adaptation of management workflows, stock filters, and displays in points of sale.

Margin coefficient

Margin coefficient settings per brand. Automatic calculation of the selling price upon stock receipts. Option to manually adjust the coefficient if necessary.

Users can restrict the update to items in stock and choose to ignore reserved labels. A price update date can be set to apply the new prices at a later date. The update history is available, and changes can be applied with a single click.

Entrusted to / Retrocessions

Manage the consignments of your products with your customers, colleagues or collaborators, and track the rebates.
Automatic generation of consignment notes, invoices and credit notes if necessary, with the option to display or not the transfer price on the consignment note.

Promotional pricing management

Product transfers

Transfer of products from one point of sale to another. Selection of the origin and destination stores, choice of items to transfer (brand, category, type, reference). Complete traceability and automatic updating of stock levels for the points of sale involved.

Customer feedback

Easily manage product returns following a customer purchase. The Customer Return module allows you to identify the original purchase, select the returned item(s), and choose the processing method: generating a credit note or a refund.

Supplier returns

Easily manage the return of an item to a supplier by selecting the product via its reference or label, choosing a supplier (including occasional), entering the return date, adding a supporting document and specifying the reason for the return in a free description area.

Reservations

Reserve a product for a customer, with or without an end date, in just a few clicks. This module allows you to easily track all current reservations, apply filters (brand, customer, period, etc.), and manage each reservation individually. Perfect for holding an item while awaiting a purchase decision.

DEB – Declaration of Exchange of Goods

The DEB module allows you to generate a CSV file that complies with customs regulations, ensuring the traceability of intra-community trade in goods.
The file includes the company identification (name, address, period), followed by a table listing the flow of goods with the required information: VAT number of the partner, country of destination, nature of the transaction, value and code of the goods.

Inventories

Targeted inventory by point of sale, brand, product type and category, with selection of desired criteria and definition of an end date.
Items are entered using a barcode scanner or by manually entering labels.
Calculation of the differences between the theoretical stock and the actual stock.
Display of totals excluding and including tax, as well as the number of items counted.

Category management

Products are organized by major categories (rings, necklaces, watches, etc.). Categories and subcategories can be created, modified, or deleted. A simple, hierarchical interface allows for precise catalog structuring. Import/export functions are available to facilitate bulk updates.

Location management

Organize your stock by physical locations (safe, display cases, etc.) within each point of sale.
Each location is defined by a code and a name, and can be linked to one or more points of sale.

Materials management

Family management

Sales inquiry

This module allows for detailed analysis of sales made on a given day, with filters by point of sale and operator. For each transaction, it displays the customer's name, the items sold, the discounts applied, the markups, the margins, and the amounts excluding and including tax. It also provides direct access to the invoice and allows data export in CSV format. Automatic aggregation of total revenue at the bottom of the table facilitates daily monitoring of sales performance.

Key figures of the day

This dashboard presents key performance indicators for daily operations: revenue (excluding and including VAT), profit margin, average order value, sales volume, buybacks, returns, repairs, number of tickets, and total payments collected. With its clear and concise visualization, this module allows you to track your daily sales performance in real time.

Cash Management

The module records cash transactions within the point of sale. It covers three types of operations: cash outflow (purchase), used when a purchase is made in cash directly from the till; cash deposit, which corresponds to withdrawing cash for deposit into the company's bank account; and cash replenishment, allowing cash to be added to the till, for example, to replenish the cash float. Each transaction is tracked with the date, point of sale, operator, and a comment, ensuring transparent and secure management.

VAT on margin

The module automatically calculates the VAT on margin applicable to second-hand goods. It generates a summary table showing, for each relevant sale, the purchase price, the selling price, the margin earned, and the VAT to be declared. Exporting the data in XLSX or CSV format, by month, simplifies monthly tax filing.

DEB – Declaration of Exchange of Goods

The DEB module allows you to generate a CSV file that complies with customs regulations, ensuring the traceability of intra-community trade in goods.
The file includes the company identification (name, address, period), followed by a table listing the flow of goods with the required information: VAT number of the partner, country of destination, nature of the transaction, value and code of the goods.
